Zapier Integration
Connect AIVO to 5,000+ apps with Zapier. Overview and popular automation recipes.
Overview
Zapier connects AIVO to over 5,000 apps, letting you automate workflows without writing code. When something happens in AIVO (a call completes, an appointment is booked), Zapier can trigger actions in other apps.
For the full step-by-step setup walkthrough, see our Zapier Integration Guide.
How It Works
AIVO sends webhook events to Zapier whenever something happens in your account. Zapier receives the webhook and performs an action in another app.
- Trigger - An event happens in AIVO, which sends a webhook to Zapier (e.g., new call completed).
- Action - Zapier performs an action in another app (e.g., creates a CRM contact).
AIVO can send webhooks for these events:
- Call Completed - Fires when a call ends.
- Appointment Booked - Fires when a new appointment is scheduled.
- Contact Created - Fires when a new caller is added to your contacts.
- Message Received - Fires when a voicemail or message is left.
Top 3 Most Popular Recipes
1. New Call to CRM Contact
Trigger: AIVO - Call Completed
Action: HubSpot (or Salesforce) - Create Contact
Automatically creates a contact in your CRM for every new caller. Includes the caller's name, phone number, call summary, and topics discussed.
Why it is useful: No more manually entering caller info. Every lead is captured automatically.
2. Appointment Booked to Email Notification
Trigger: AIVO - Appointment Booked
Action: Gmail - Send Email
Sends you (or your team) a detailed email whenever a new appointment is booked. Includes the customer's name, appointment time, type, and any special requests.
Why it is useful: Stay on top of your schedule even when you are away from the dashboard.
3. Negative Sentiment Alert to Slack
Trigger: AIVO - Call Completed (with filter: sentiment = negative)
Action: Slack - Send Message
Posts an alert in your Slack channel whenever a call has negative sentiment. Includes the transcript link so you can review immediately.
Why it is useful: Catch unhappy customers in real time and follow up before they leave a bad review.
Getting Started
AIVO connects to Zapier through webhooks — there is no native AIVO app in the Zapier directory. Instead, you use Webhooks by Zapier as the trigger.
- Create a free account at zapier.com.
- Create a new Zap and choose Webhooks by Zapier as the trigger app.
- Select Catch Hook as the trigger event.
- Copy the webhook URL that Zapier provides.
- In your AIVO dashboard, go to Settings > API Keys > Webhooks and paste the URL for the events you want to send (calls, appointments, contacts, or messages).
- Test the connection by triggering an event in AIVO.
- Add your desired action app (HubSpot, Gmail, Slack, etc.) and configure it.
