Connect your Google Calendar, sync appointments, troubleshoot issues, and disconnect.

Connecting Your Google Calendar

  1. Go to Settings > Integrations.
  2. Find Google Calendar and click Connect.
  3. A Google sign-in window opens. Sign in with the Google account that has your business calendar.
  4. Review the permissions AIVO requests:
  • View and edit events - So the AI can check availability and create appointments.
  • View calendar settings - So the AI knows your timezone and working hours.
  1. Click Allow.
  2. Back in AIVO, select which calendar to sync (if you have multiple).
  3. Click Save.

A green checkmark confirms the connection is active.

How Appointment Sync Works

When a Customer Books via AI

  1. The AI checks your Google Calendar for open time slots.
  2. When the caller picks a time, the AI creates a calendar event.
  3. The event includes: customer name, phone number, appointment type, and any notes from the call.
  4. Both you and the customer receive confirmation.

When You Add Events Manually

  • Events you add directly in Google Calendar are respected by the AI.
  • If you block time for "Lunch" or "Meeting," the AI will not book appointments in those slots.
  • Sync happens in near real-time (typically under 30 seconds).

Two-Way Sync

  • Appointments created by the AI appear in Google Calendar.
  • Events created in Google Calendar block off time in the AI's availability.
  • Cancellations sync both ways.

Troubleshooting Sync Issues

Appointments Not Appearing in Google Calendar

  1. Go to Settings > Integrations > Google Calendar and check the status.
  2. If it shows "Disconnected," click Reconnect and sign in again.
  3. Verify you selected the correct calendar.
  4. Wait 2 minutes and refresh your Google Calendar.

Double Bookings

  • Ensure the AI is connected to your primary business calendar, not a secondary one.
  • Check that manual events are on the same calendar the AI is watching.
  • If you use multiple calendars, enable conflict checking across all of them in AIVO settings.

Wrong Timezone

  1. In AIVO: Settings > Business Profile > Timezone.
  2. In Google Calendar: Settings > General > Timezone.
  3. Both should match. If they do not, AIVO may show the wrong available times.

Permission Errors

If you see "Insufficient permissions":

  1. Disconnect the integration.
  2. Go to myaccount.google.com/permissions and remove AIVO.
  3. Reconnect from AIVO and accept all permissions.

Disconnecting

  1. Go to Settings > Integrations > Google Calendar.
  2. Click Disconnect.
  3. Existing appointments remain in both AIVO and Google Calendar but stop syncing.
  4. Optionally, revoke access at myaccount.google.com/permissions.
