Set up automated outbound calling campaigns for follow-ups, surveys, and lead outreach.

Overview

AI Missions let your AI assistant make outbound calls automatically. Use them for appointment follow-ups, customer surveys, lead outreach, and missed appointment rescheduling.

Available on Professional and Enterprise plans.

Creating a Campaign

  1. Go to Outreach > New Campaign.
  2. Enter a campaign name (e.g., "March Follow-Ups").
  3. Configure the campaign:
  • Assistant: Select which AI assistant handles the calls.
  • Phone Number: The caller ID shown to recipients.
  • Schedule: Set start and end times, and the timezone.
  • Concurrent Calls: How many calls to place simultaneously (default: 3).
  1. Add your targets — the phone numbers to call:
  • Upload a CSV file with phone numbers and optional metadata.
  • Or add numbers manually.
  1. Click Launch Campaign.

Target Management

Each target consists of:

  • Phone number (required) — in E.164 format (+1XXXXXXXXXX).
  • Metadata (optional) — key-value pairs passed to the AI during the call. For example:
  • customer_name: "Jane Doe"
  • appointment_date: "March 15"
  • reason: "Follow-up on dental cleaning"

The AI uses metadata to personalize the conversation: "Hi Jane, I'm calling to follow up on your dental cleaning on March 15."

Campaign Settings

Concurrent Call Limit

Controls how many calls happen at the same time. Start low (3-5) and increase if your phone lines support it.

Retry Configuration

If a call is not answered:

  • Max retries: Number of reattempts (default: 2).
  • Retry delay: Minutes between retries (default: 30).
  • Retry on: Choose which outcomes trigger a retry (no answer, busy, voicemail).

Schedule Window

Calls are only placed during the scheduled window. The AI respects business hours and will not call outside the configured times.

Monitoring Campaigns

  • Go to Outreach to see all campaigns.
  • Each campaign shows: total targets, calls completed, calls remaining, and status.
  • Click a campaign to see per-target results: answered, no answer, voicemail, completed.
  • Cancel a campaign at any time by clicking Cancel Campaign. Calls in progress will complete, but no new calls will be placed.

Best Practices

  1. Start small. Test with 5-10 numbers before launching to hundreds.
  2. Respect time zones. Schedule calls during reasonable hours (9 AM - 6 PM local time).
  3. Personalize with metadata. Calls with customer context have 3x higher engagement.
  4. Monitor results. Review transcripts of the first few calls to ensure quality.
  5. Comply with regulations. Ensure you have consent to call each number. Follow TCPA (US) and local telemarketing regulations.
