Getting Started with AIVO Connect

Go from sign-up to your first AI-powered phone call in five simple steps. This guide is written for business owners — no technical experience needed.

Before you begin

  • An email address to create your account
  • Basic information about your business (name, hours, services)
  • A phone (mobile or landline) to test your first call

The entire setup takes about 10 minutes. You get a 14-day free trial on the Professional plan — no payment required upfront.

1. Create Your Account

Your AIVO Connect account is your home base. Setting it up takes less than two minutes.

How to sign up

Go to aivo.bz/register in your web browser.

Enter your email address and choose a password. Use a strong password with at least 8 characters, a number, and a special character.

Type your business nameexactly as you want callers to hear it (for example, “Casa Maya Resort” or “Belize Auto Parts”).

Choose your preferred currency: BZ$ (Belize Dollars) or US$ (US Dollars). All prices can be displayed in either currency. The fixed exchange rate is 1 USD = 2 BZD.

Click Create Account and check your inbox for a verification email. Click the link to confirm your address.
Already have a Gmail or company email? Use that — it makes password recovery easier down the road.
You know this step is done when you can log in and see the AIVO Connect dashboard.

2. Set Up Your AI Assistant

Your AI assistant is the voice that answers your business phone. Think of it as a friendly, knowledgeable receptionist who never takes a day off.

Pick a voice

From the dashboard, go to Voice Settings in the sidebar.

Browse the available voices and click Previewto hear each one. Choose a voice that matches the tone of your business — warm and welcoming for a hotel, professional and clear for a law office.

Write a greeting message

In the Greeting field, type the first thing callers will hear. Keep it short, friendly, and informative.
Great greetings for Caribbean businesses:
• “Good day! Thank you for calling Casa Maya Resort. How can I help you today?”
• “Welcome to Island Dental. I can help you book an appointment, check our hours, or answer any questions.”
• “Hi there, you've reached Belize Auto Parts. How can I assist you?”

Mention your business name so callers know they reached the right place, and tell them what you can help with so they know what to ask.

Add business instructions

Scroll down to Business Instructions. This is where you tell your assistant how to behave. Write in plain language, as if you were training a new employee.

Good instructions to include:

  • Your business hours and what to say when you're closed (“We're open Monday to Saturday, 8 AM to 5 PM”)
  • How to handle appointment requests (“Offer the next available slot and confirm with the caller”)
  • When to transfer to a human (“If someone asks about a refund or complaint, transfer to extension 101”)
  • Your tone and style (“Be friendly and casual, use local greetings like Good morning / Good evening”)

Click Savewhen you're done.
You know this step is done when you can see your chosen voice, greeting, and instructions on the Voice Settings page.

3. Build Your Knowledge Base

The knowledge base is your assistant's brain. The more information you add, the better it can answer caller questions without transferring to a human.

What to add

Think about the questions your customers ask most often, then add the answers. Here are real examples for Caribbean businesses:

  • Business hours— “We are open Monday to Friday 8 AM to 5 PM, Saturday 9 AM to 1 PM. We are closed on Sundays and public holidays.”
  • Pricing and rates— “Our standard room rate is BZ$350 per night. Suites start at BZ$550. Rates include breakfast and Wi-Fi.”
  • Services offered— “We offer oil changes, tyre rotations, brake inspections, and full engine diagnostics. Walk-ins welcome.”
  • Location and directions— “We are located on Freetown Road, Belize City, opposite the BTL Park. Free parking is available.”
  • Payment methods— “We accept cash (BZD and USD), Visa, Mastercard, and mobile payments via DigiWallet.”
  • FAQs— “Do you deliver? Yes, we deliver within Belize City for orders over BZ$50. Delivery takes 30 to 60 minutes.”

How to add knowledge

Go to Knowledge Base in the sidebar.

Click Add Entry.

Type a title (for example, “Business Hours”) and paste or type the information in the content field.

Repeat for each topic. Aim for at least 5 entries to start — you can always add more later.
Write your answers the way you would speak to a customer on the phone. Your assistant will use this natural language when responding to callers.
You can also upload documents (PDF, Word, or text files) and your assistant will learn from them automatically. Great for menus, price lists, or service catalogues.
You know this step is done when you have at least 5 knowledge entries covering your most common customer questions.

4. Get Your Business Phone Number

Your AI assistant needs a phone number so customers can call it. You can get a new number in under two minutes.

Search and choose a number

Go to Settings → Phone Numbers in the sidebar.

Click Get a New Number. Browse available numbers by area code or search for a specific pattern.

Select the number you want and click Purchase. The number is active immediately — no waiting.

Your new number is automatically assigned to your AI assistant. You can verify this on the Voice Settings page.
Choose a local number that your customers will recognise. A familiar area code builds trust and makes people more likely to answer return calls.
Already have a business number you want to keep? You can port (transfer) your existing number to AIVO Connect. Porting typically takes 1 to 3 business days. Contact our support team to start the process.
You know this step is done when you see your new phone number on the Phone Numbers page with an “Active” status.

5. Test and Go Live

Before sharing your number with customers, make a test call to hear your assistant in action.

Make your first test call

Pick up your mobile phone and dial your new AIVO business number.

Listen to the greeting. Does it sound right? Is the voice clear and natural?

Ask a few questions that a real customer would ask — your hours, your prices, how to book an appointment. Check that the answers are correct.

Try the Try Live widget on your dashboard for a quick test without using your phone.

What to listen for

  • Greeting— Does your business name come through clearly?
  • Accuracy— Are the answers to your questions correct?
  • Tone— Does the voice sound friendly and professional?
  • Handling unknowns— Ask something your assistant does not know. It should offer to take a message or transfer the call, not make up an answer.

Common first-day tweaks

  • Greeting too long? Shorten it to under 15 seconds. Callers want to get to their question quickly.
  • Wrong answer? Go back to your Knowledge Base and update or add the correct information. Changes take effect on the next call.
  • Voice not quite right? Try a different voice from Voice Settings. You can switch any time.
  • Calls not coming through? Double-check that your phone number is assigned to your assistant on the Voice Settings page.

Go live

Once you're happy with your test calls, share your number with customers. Update your website, Google Business Profile, social media, and business cards with your new AI-powered number.

After your first few real calls, check the Calls page in your dashboard. You can read full transcripts, listen to recordings (if enabled), and see how your assistant performed. Use this feedback to keep improving your knowledge base.
You know this step is done when you have made a test call, verified the greeting and answers, and shared your number with at least one customer.

6. Getting Started with AIVO Connect

Looking for SIP trunking instead of an AI assistant? AIVO Connect PAYG lets you connect your PBX or softphone to the global telephone network with no monthly fee — pay only for the minutes you use.

Quick-start steps

Register at aivo.bz/register?product=connect. Your account is created with the PAYG plan and billing enabled automatically.

Top up your balance from the Billing page. You need at least $2 BZD to place outbound calls.

Create a SIP connection under SIP Trunking > Connections. Choose credential, IP, or FQDN authentication.

Provision a phone number from Settings > Numbers and assign it to your connection. One number is included free.

Start making calls. Point your PBX to sip.aivo.bz and you are live.

View charges in your Connect dashboard. Calls are billed per minute by destination with 6-second increments. See the full rate card at /connect/rates.
